When you request a delivery quote through our InstantQuote tool, we collect:

• Contact information: first name, last name, email address, phone number
• Company information: company name, industry type (if applicable)
• Pickup location: street address, city, state, ZIP code
• Delivery location: street address, city, state, ZIP code
• Service details: service type selected, number of pallets, estimated weight, requested delivery date
• Scope of work selections: stairs, elevator use, long carry, after-hours requests, hand unload requirements, oversized or overweight item flags
• Special instructions or notes you voluntarily provide
• Photos you voluntarily upload of items, pickup locations, or delivery sites
• Multi-site pickup details if applicable

When you create or use a Customer Portal account, we additionally collect:

• Login credentials (email address and password, stored securely)
• Account history including past quote requests and delivery records
• Company account affiliation if you are a team member of a business account

In addition to information you provide about yourself, you may also provide us with personal information about third parties in connection with a delivery request. This includes the name, phone number, delivery address, and any relevant access or site information for the person or business receiving the delivery ("delivery recipient"). By providing this information, you represent that you have the authority to share it with us and that the delivery recipient has been informed that their information will be used to coordinate their delivery.

When you visit our website, we may automatically collect:

• HouseCall Pro: we use HouseCall Pro as our field service management and scheduling platform. When a delivery is booked, your contact information, delivery address, and job details are entered into HouseCall Pro to facilitate scheduling, dispatching, automated reminders, and payment processing.

Note: If you receive an automated appointment reminder, confirmation text, or payment receipt via HouseCall Pro, that communication is governed by HouseCall Pro's terms and privacy policy in addition to ours.

2.4 Information Received From Business Accounts and Partners

In the course of providing delivery services, we may receive personal information about individuals who have not directly interacted with our website. This occurs in the following circumstances:

Delivery Recipient Information

When a business client (such as a flooring distributor, cabinet supplier, or contractor) books a delivery on behalf of their customer, they provide us with the delivery recipient's personal information — including name, phone number, and delivery address — solely for the purpose of completing that delivery. We use this information only to:

• Schedule and execute the delivery
• Communicate with the delivery recipient regarding their scheduled delivery window
• Obtain proof of delivery confirmation
• Resolve any disputes related to that specific delivery

We do not use delivery recipient information for marketing purposes, and we do not sell or share it beyond what is necessary to complete the delivery.

Job Site and Third-Party Contact Information

In some cases, the point of contact at a delivery site may be a third party — such as a contractor, project manager, or site supervisor — who is different from both the client who ordered the delivery and the delivery recipient. We may receive the name and phone number of this contact solely for delivery coordination purposes.

Customer Portal Submitted Information

Business clients who use the JIT Delivers Customer Portal may submit delivery requests that include personal information about their customers and delivery recipients. By submitting this information through our portal, the business client represents that they have obtained any necessary consent from those individuals to share their information with JIT Delivers for delivery coordination purposes.

Our Role as Data Processor

When we receive personal information about delivery recipients from our business clients, we act as a data processor on behalf of those clients. Our business clients are responsible for ensuring they have a lawful basis for sharing that personal information with us. We process such information only as directed by our business clients and only to the extent necessary to fulfill the delivery services requested.

3. How We Use Your Information

3.1 To Provide Our Services

5.2 Business Accounts

If you are a team member of a business account, the account administrator at Just In Time Delivery Solutions may see aggregate usage statistics associated with your account. Individual quote details are visible only to your designated account manager.

5.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, prevent fraud, or protect the safety of our customers or the public.

5.4 Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of our business assets, your information may be transferred as part of that transaction. We will notify you if your information becomes subject to a different privacy policy.

5.5 Sharing of Delivery Recipient Information

Personal information about delivery recipients is shared only with:

• Our delivery crew, on a need-to-know basis to complete the delivery
• HouseCall Pro, for scheduling and dispatching purposes
• The business client who submitted the delivery request, in the form of delivery confirmation, proof of delivery documentation, and photo records

We do not share delivery recipient information with any other third party without explicit consent or legal requirement.

6. Data Retention

• Quote records: retained for a minimum of 3 years from the date of submission for dispute resolution purposes
• Customer account information: retained for the duration of the account relationship plus 2 years after closure
• Delivery records and proof of delivery documentation: retained for a minimum of 3 years
• Uploaded photos: retained for 1 year from the date of upload unless associated with an active dispute
• Delivery recipient information (name, phone, delivery address): retained for a minimum of 3 years from the delivery date for dispute resolution and proof of delivery purposes, then securely deleted unless subject to an active legal hold

7. Data Security

We implement industry-standard security measures to protect your personal information:

• All data is transmitted over encrypted HTTPS connections
• Database access is protected by role-based access controls and row-level security policies
• Authentication is handled with secure password hashing
• Uploaded files are stored in access-controlled cloud storage
• Access to your information is limited to personnel who need it to perform their job functions

• You represent that you have obtained any necessary consent from your customers to share their delivery information with a third-party delivery service provider
• You agree to maintain your own privacy policy that discloses your use of third-party delivery services
• You agree not to submit personal information about individuals who have not consented to having their information shared for delivery coordination purposes
• You are responsible for ensuring the accuracy of delivery recipient information you submit through our systems

JIT Delivers is not responsible for any privacy obligations owed by business clients to their own customers beyond our role as a delivery service provider.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy with a new effective date. Your continued use of our services after the effective date constitutes your acceptance.
